Privacy Notice
What we collect, why we have it, who else can see it, and what you can ask us to do about it.
Five things, if you read nothing else
The thirteen sections below say all of this again, properly and at length. If you only have a minute, this is the whole position.
Only what you type
Form fields, plus the technical records every web server keeps.
Used only to answer you
That is the whole purpose. There is no second use for it.
Never sold or shared
Not to anyone, and never for somebody else’s marketing.
No advertising trackers
No Meta pixel. No LinkedIn Insight tag. None at all.
Three routes, and one of them stops at your own browser
There is no fourth route. Nothing on this site sends your information anywhere other than the three destinations below.
Who we are
Manage2Retain is a workforce stability consulting practice serving healthcare, manufacturing and other workforce-intensive organizations in Canada and the United States. Manage2Retain is the organization responsible for the personal information described in this notice, and is what Canadian privacy law calls the organization accountable for it.

What we collect
There are only two ways personal information reaches us through this site. You give it to us in a form, or your browser sends it to the server the way every browser sends it to every server.
| What | Examples | Why we have it |
|---|---|---|
| Information you type into a form | Name, job title, organization, work email, phone number, employee numbers, sector, preferred times, and anything you write in a message box | So we can answer your enquiry and hold the conversation you asked for |
| Information you send us directly | The content of emails and voicemail you send to our published address or number | So we can reply, and so we have a record of what was agreed |
| Technical server records | IP address, browser and device type, the pages requested, the date and time, and the page you arrived from | Security, fraud prevention and keeping the site working. Every web server keeps these |
| Scorecard answers, only if you send them | Your answers to the thirty five statements, the total and the nine area scores, together with the name, organization and email you give when you send them | So Douglas Brown can reply with what he would look at first. Nothing is sent unless you complete the scorecard and choose to send it. Until then it stays in your browser |
| Cost calculator entries | Headcount, salary, turnover rate, absence days, overtime hours and the other figures you enter | None. These never leave your browser. They are not sent to us, not stored and not logged |
The cost calculator is worth being clear about. It runs entirely in your own browser. Nothing you type into it is transmitted to Manage2Retain or to anyone else, nothing is saved, and closing the page discards it.
The scorecard works the same way, with one difference. It also runs in your browser and nothing is saved. When you have answered all thirty five statements you are offered the option of sending your result to us. That is a choice you make, and if you do not make it nothing about your answers ever reaches us.
We do not ask for, and you should not send us, sensitive personal information. That includes health information about identifiable individuals, government identifiers, and payment card details. Nothing on this site requires them.
Cookies and tracking
This site uses very few cookies, and none of them follow you to other websites. Here is the complete list of what runs and what does not.
| Technology | What it does | Status on this site |
|---|---|---|
| Essential cookies | Keep the site working: security checks, form protection and load balancing | IN USE |
| Caching and performance | Serves pages faster. Provided by our host as part of the hosting service | IN USE |
| Google Analytics | Counts visits and shows which pages are read, in aggregate. It does not identify you to us | DECISION PENDING |
| Embedded video | Where a page carries a video, the video provider sets its own cookies once you press play | CLICK TO PLAY ONLY |
| Meta or Facebook pixel | Tracks visitors for advertising | NOT INSTALLED |
| LinkedIn Insight tag | Tracks visitors for advertising | NOT INSTALLED |
| Advertising and retargeting networks | Follow you across other websites | NOT INSTALLED |
Video
Videos on this site load as a still image with a play button. Nothing is requested from the video provider until you click. If you never press play, the provider is never contacted and sets no cookies. If you do press play, the provider’s own privacy terms apply to what happens after that.
Turning cookies off
Every browser lets you block or delete cookies, and most let you do it per site. Blocking the essential ones may stop forms from submitting. Nothing else on this site depends on them.
How we use it
We use the information described in section 2 for these purposes and no others:
- To answer your enquiry, arrange the conversation you asked for, and follow up on it.
- To prepare for that conversation, which is why the forms ask about headcount and sector.
- To keep a record of what was discussed and agreed, in the ordinary way any consulting practice does.
- To keep the site secure and working, and to investigate misuse.
- To meet legal, tax and professional record-keeping obligations.
Sending us an enquiry does not sign you up to anything. Manage2Retain does not operate a newsletter, does not run marketing campaigns from this site, and does not add enquirers to a mailing list. If we ever start, we will ask you first and you will have to say yes.
Under Canadian privacy law we rely on your consent, which you give by completing and sending a form after reading this notice, and on our legitimate need to run and secure the website.
Who else can see it
Your information is not sold, rented or traded, and it is not given to anyone for their own marketing. A small number of service providers process it on our behalf, under contract, and only for the purpose we engaged them for. This is the complete list.
| Provider | What they do for us | What they can see |
|---|---|---|
| Our web host | Runs the servers this website sits on, and takes backups of it | Everything stored on the site, including server logs and any form entries held there |
| Our email provider | Delivers and stores the email that form submissions become | The contents of those emails |
| Our form software | Builds and processes the forms on this site | Form entries, which are held on our own site rather than on the provider’s systems |
| Our website developer | Builds and maintains the site under contract to Manage2Retain | Technical access to the site while work is being done. Bound by confidentiality |
| Analytics provider | Aggregate visit statistics, if we decide to use analytics at all | DECISION PENDING |
We may also disclose information where the law requires it, for example in response to a valid legal order, or where it is necessary to protect our rights or someone’s safety. If that ever happens we will tell you unless we are legally prevented from doing so.
Where it is stored
The website and the information on it are hosted in hosting region to confirm. Some of the service providers listed in section 5 are based outside Canada, or store information outside Canada.
When personal information is held in another country it is subject to the laws of that country, which can include lawful access by that country’s courts and authorities. We use providers who commit contractually to protect it to a comparable standard, but we cannot exempt them from the law where they operate. If this matters to you, contact us before sending anything sensitive through the site.
How long we keep it
- Enquiries that go nowhere. Deleted within retention period to confirm of the last contact.
- Enquiries that become client work. Kept for as long as the relationship lasts, and afterwards for as long as professional, tax and legal record-keeping requires.
- Server and security logs. Kept for a short period by our host and then overwritten in the ordinary course.
- Cost calculator entries. Never stored, because they never reach us.
You can ask us to delete your information sooner. See section 8.
Your rights
Canada’s Personal Information Protection and Electronic Documents Act gives you rights over the information an organization holds about you. You can ask us to:
- Tell you what we hold about you, and what we have done with it.
- Correct it if it is wrong or out of date.
- Delete it, where we are not required to keep it for legal or professional reasons.
- Withdraw your consent to us using it, at any time. This may mean we can no longer respond to your enquiry.
- Send you a copy of what you gave us.
Email info@manage2retain.com and say which of these you want. There is no charge. We will confirm receipt and respond within thirty days, which is the period Canadian law allows. We may need to verify who you are first, so that we do not disclose your information to somebody else.
If you are in the United States, the European Union or the United Kingdom, local law may give you further rights. Ask us and we will apply them.
How we protect it
- The whole site is served over an encrypted connection, so what you type into a form cannot be read in transit.
- Administrative access is restricted to named people who need it, protected by strong passwords and two-factor authentication.
- The site runs a deliberately small number of third-party components, because every additional one is another way in.
- Software is kept current, and security updates are applied automatically.
- Backups are taken regularly and held by our host.
No website can promise perfect security, and we will not pretend otherwise. If a breach ever affects your information in a way that creates a real risk of significant harm, we will tell you and report it as Canadian law requires.
Children
This site is aimed at people acting for an organization in a professional capacity. It is not directed at children, and we do not knowingly collect information from anyone under sixteen. If you believe a child has sent us information, tell us and we will delete it.
Other websites
This site links to a small number of pages elsewhere, including published articles about Manage2Retain. Once you follow a link you are on somebody else’s site, under their privacy terms, and this notice no longer applies. We choose what we link to, but we do not control it.
Changes to this notice
We will update this notice when what we do changes, for example if we start using analytics, add a scheduling tool, or change a service provider. The effective date at the top of the page always shows the current version.
If a change materially affects how we use information you have already given us, we will contact you directly rather than relying on you noticing a new date on a web page.
Contact and complaints
Ask us first. Privacy questions, access requests and complaints all go to the same place, and they reach a person rather than a queue.
